P02 Titles

This page allows you to manage the overview of items entered in IMMS. You can search for titles and the search can be narrowed through the use of a number of search criteria such as, e.g., author, title, item type, etc. For each title, the title ID, author, title, and strategy are displayed in the overview.

The page can also be used to change a strategy or item width for multiple titles simultaneously. The changes affect the information associated with the title ID of the title, which causes the change to affect all items with the applicable title ID.

A title is only displayed in the search results if at least one item with the applicable title exists.

If the search results contain over 5,000 rows, the results are not displayed in the overview and more search criteria is needed.

Tip: The search fields for author and title include a picklist with possible options. The list pulls up authors/titles from the database that are similar to the text entered.

MAIN PAGE (P02): Titles

Title information:

Element Description
Author field Enter a search string here for the title’s author.
A “?” can be used as a wildcard. A “?” is implicitly added to the end of the text entered.
There is no distinction between uppercase and lowercase letters.
For example, if and is entered, it will match the authors Andersen, Andresen, and similar.
If the field is left empty, no author is searched for.
Title field Enter a search string here for the title’s author.
The same rules apply as for author searches.
Item ID field You can enter the Item ID to search for here.
A “?” can be used as a wildcard. If no wildcard is used and the field is filled in, then titles that match the entered value exactly, including any leading 0’s, will be searched for.
Title ID field You can enter the title ID to search for here.
A “?” can be used as a wildcard. If no wildcard is used and the field is filled in, then titles that match the entered value exactly, including any leading 0’s, will be searched for.
Picklist with item types You can select the item type to search for here.
If “*” is selected, the title’s item type is ignored.
Classification range Used to search for titles with a specific classification and is entered as a text range.
Alphabetization range Used to search for titles with a specific alphabetization and is entered as a text range.
Acquisition date range Used to locate titles within a specific range of accession dates. The title’s acquisition date is calculated in the title statistics as the acquisition date that appears for the majority of the items of the title. Titles without an associated calculated acquisition date will be excluded from the results if an acquisition date range is entered for the search.
Picklist of strategies You can select the strategy to search for here.
If “*” is selected, the title’s strategy is ignored.
Picklist for locking automatic life cycle events You can select whether or not the search should be limited to titles that are locked for automatic life cycle events here. If “*” is selected, this is ignored.

Item properties:

Picklist of float codes You can select the float code to search for here.
If “*” is selected, the item’s float code is ignored.
PIcklist of fixed branches You can enter the fixed branch to search for here.
If “*” is selected, the item’s fixed branch is ignored.
Please note: If a fixed branch is selected, floating items are excluded from the search.
PIcklist of fixed departments You can select the fixed department to search for here.
If “*” is selected, the item’s department is ignored.
Picklist of locations You can select the location to search for here.
If “*” is selected, the item’s location is ignored.
Picklist of sub-locations You can select the sub-location to search for here.
If “*” is selected, the item’s sub-location is ignored.
Picklist of item collections You can select the item collection to search for here.
If “*” is selected, the item’s item collection is ignored.

Other (parameters):

Element Description
Picklist to select whether or not the items of the title need to be included in IMMS. You can choose here whether the search should be limited to items included in IMMS (select “Yes”) or items excluded from IMMS (select “No”). If “*” is selected, all items of a title are included.

Search button Displays a list of titles that meet the selected search criteria
Button for resetting search criteria Deletes all of the search criteria entered
Titles table The following information is shown in the table
  • Title ID
  • Classification
  • Author
  • Title
  • Strategy
  • Locked
  • Width, set
  • Number of items that match the search criteria
  • Number of items for the title
The table can be sorted by the contents of all columns aside from “classification”. Sorting is enabled by clicking on the specific column name you would like to sort by. The table allows you to select multiple rows at the same time. Hold down the Ctrl button to select multiple rows. This is described in detail in Introduction to the IMMS web client.
Button for adjusting the column width Adjusts the width of each column in the table so it suits the current contents of the column.

“Details” button Displays the “Title details” dialog box, showing detailed information about the selected title
The function is only available when exactly one title has been selected from the list.
“History” button Displays the “Title history” dialog box, showing the history of the selected title.
The function is only available when exactly one title has been selected from the list.
“Change strategy” button Displays the “Change strategy” dialog box, allowing you to change and/or lock the strategy for automatic life cycle events for the selected title(s)
“Change width” button Displays the “Change item width” dialog box, allowing you to change the item width(s) of the selected title(s)
“Exhibition group” button Opens the “Add to exhibition group” dialog box for adding the selected titles to an exhibition group.
The function is only available when at least one title has been selected from the list.
“Select all” button Selects all titles in the title overview
“Deselect all” button Clears the selection of all titles in the title overview
User without editing permissions
“Details” button Displays the “Title details” dialog box, showing detailed information about the selected title
“Select all” button Selects all titles in the title overview
“Deselect all” button Clears the selection of all titles in the title overview

DIALOG BOX (P02.1): Title details

The following information is shown on the left side of this dialog box. It is not possible to change any of the information.

    - If a front page image exists, it will be displayed.
If classification display is available for the title and this is not equal to the classification, the classification display will be shown in parentheses after the classification.
“Strategy” button Opens the “Strategy details” dialog box, showing details of the associated strategy.
“Title statistics” button Opens the “Title statistics and life cycle simulation” dialog box, which allows you to simulate the calculation of title statistics for the applicable title.
“Previous” button Opens the Title details dialog box for the previous title in the overview.
The button is only enabled if there is a title listed before the current title in the overview.
“Next” button Opens the Title details dialog box for the next title in the overview.
The button is only enabled if there is a title listed after the current title in the overview.

DIALOG BOX (P02.2): Change strategy or life cycle handling

Element Description
Title quantity field Shows the number of titles the strategy needs to be changed for
Picklist of strategies The selected titles for this strategy. The checkbox must be ticked before a selection can be made.
Picklist of conditions for automatic life cycle events The selected titles for this strategy. The checkbox must be ticked before a selection can be made.

DIALOG BOX (P02.3): Change item width

Element Description
Title quantity field Shows the number of titles the item width needs to be changed for
Item width field The selected titles are assigned this item width. It is possible to leave the item width field blank, which means that IMMS will automatically set the item width. Read more in 'Calculating an item’s width'.

DIALOG BOX (P02.5): Title history

The history of the selected title is displayed here.

“Previous” button Opens the Title history dialog box for the previous title in the overview.
The button is only enabled if there is a title listed before the current title in the overview.
“Next” button Opens the Title history dialog box for the next title in the overview.
The button is only enabled if there is a title listed after the current title in the overview.

DIALOG BOX (P02.6): Title statistics and life cycle simulation

This dialog box is used to look at how automatic life cycle management performs the calculations for the selected title.

The simulation is run for the title you have chosen to view the title details of.

Results field Once the simulation has been run, the results are displayed in this field.

DIALOG BOX (P02.7): Add titles to an exhibition group

You can add the selected titles to an exhibition group here. The function requires the “Exhibition administration” role and one or more titles must be selected.


Title quantity field Shows the number of titles to be added to an exhibition group.
Picklist of exhibition groups The exhibition group the items are to be added to.
“Show” button Displays the “Enter details about the exhibition group” dialog box, showing detailed information about the selected exhibition group.
